R-043201LPL is currently hiring an Executive Assistant to Office of
the CEO. The Executive Assistant will provide administrative
support to LPL's Office of the CEO and primary responsibilities
include supporting the CEO and EA to the CEO with expense
management, ad hoc project management, SVP, Chief of Staff
administrative support, material and conference
preparation.Responsibilities:
- Collaborate with the Office of the CEO team, assist with MC
Meeting coordination, Board Meeting deliverables and scheduling,
conference prep and coordination and ad hoc project
management.
- Primary back up support for the Executive Assistant to
CEO.
- Manage incoming mail - open all mail, flag client letters,
escalate complaints as needed.
- Manage personal requests for CEO, including, but not limited
to:
- Booking travel for executive and family
- Management of tax information
- Scheduling private appointments
- Heavy Travel coordination - arranging all aspects of travel
including air, lodging, and transportation in conjunction with the
corporate travel department.
- Management of expenses - organize receipts and input in Concur
in a timely manner to ensure meeting billing schedule.
- Screen incoming telephone calls - take and deliver accurate
messages; respond to requests by gathering and providing
information and referring non-routine calls to the appropriate
staff.
- Support SVP, Chief of Staff with calendar, travel and
expenses.
- Food and beverages for meetings.
- Consolidate travel arrangements.
- Coordinate MC events and OCEO.
- Run agenda and notes for team meetings.
- Calendar analysis.
- Conference prep - previous meetings.Requirements:
- 5+ years' experience in C-Suite level executive administration
support.
- Associate or Bachelor's degree preferred.
- Team-oriented experience and the ability to create solid
working relationships with other administrative staff and others
within the department.
- Ability to interact with people of all levels, clients and
senior leadership, in a confident, professional manner.
- Excellent organizational and customer service skills.
- Exceptional travel arrangement experience with proven success
working across multiple time zones.
- Financial Services industry experience or supporting a growth
organization is a plus.
- Exceptional written and verbal communication skills.
- Exceptional knowledge of all Microsoft applications - Excel,
PowerPoint, Outlook, Word (MS Office Certification or equivalent
operating knowledge preferred).
- An adaptable and flexible approach to thrive in a rapidly
changing environment.
- A proactive and solution-oriented mindset, anticipating needs
and taking initiative.
- High level of integrity and the ability to maintain
confidentiality with sensitive information.
- Impeccable organizational and time management skills with the
ability to multitask and prioritize effectively under
pressure.
- This role is expected to work in the San Diego office on a
full-time basis.Pay Range:$38.02-$63.37/hourActual base salary
varies based on factors, including but not limited to, relevant
skill, prior experience, education, base salary of internal peers,
demonstrated performance, and geographic location. Additionally,
